Rental Basics

Want chair covers with big bows or beautifully colored linens and overlays? Would you prefer to create your own unique setting with an elegant tent? If your answer is yes, then it’s time to shop for a party rental specialist.

A party rental specialist can supply all the trimmings to make your event an exquisite expression. Climate-controlled tents, canopies, dance floors, table and chair options, covers and sashes, elaborate china patterns, crystal glassware, flatware, portable bars, candelabras, archways, fountains, greenery, theme decor, and even elegant lighting add an ambience that will make for a splendid affair.

Linens. Linens add color, texture and style making a room come alive. Maximize the effect with layering and rich brocades, a combination of floral and plaids or soft colored linens to serve as an excellent backdrop for your flowers. Request a swatch of your linen to take to your florist, ensuring that the linens and florals don’t contrast.
It’s not necessary to perfectly match the linens with bridesmaids’ dresses. Dye lots change from one fabric to another so select from the same color family or hues.

Tents. A tent provides the ultimate in flexibility. Expect a tent representative to schedule a site visit to measure the area and determine the positioning of your tent. Information on power sources and any underground systems should be investigated. Flooring and various forms of lighting, liners, sidewalls and pole covers are more than likely to be suggested to create an indoor feel for a tented event. Depending upon the season, heating, fans and even air conditioning may become a necessity. Guests are not fond of swatting flies, being rained on, sunburned or dealing with unbearable temperatures.

Basic Tips

Be prepared to provide:

  • Your event date, time, location and # of guests.
  • Know exactly what items your caterer will be providing: glassware, flatware, china, etc.
  • Know exactly what items your facility will be providing: tables, chairs, portable bar, etc.
  • If tenting, position the tent so there is limited uncovered area walking to the restrooms and/or parking area.
  • Make sure your contract has rental items outlined, including delivery, setup and pickup times, cancellation policies and penalties.
